AIR RULES & REGULATIONS - NEW CLUBS / ORGANISERS

NOTE: This is the rough draft that will be converted into a legal format and be included in the contract or MOU that each Club Representative will be required to sign with AIR to conduct AIR and ACP approved events.

The following rules govern all brevets / events conducted in India, under the aegis of Audax India Randonneurs (AIR) and Audax Club Parisien (ACP) / Brevets de Randonneurs Mondiaux (BRM) / Les Randonneurs Mondiaux (LRM).

These rules are binding upon every Organiser / Ride Responsible (RR) of brevets on the Audax India Randonneurs Calendar.

Guiding Principles

  • Ensuring the safety of riders.
  • Upholding the integrity of randonneuring as a sport in India.
  • Enforcing the BRM Rules and Regulations as laid out by Audax India Randonneurs and Audax Club Parisien.
  • Building the community of Randonneurs in India, with a clear understanding that this is a strictly not-for-profit activity.
  • Ensuring that all decisions and actions taken, are in the interests of Randonneuring, AIR and the ridership.

Qualifications for Organisers

Organisers are required to:

  • Be Randonneurs themselves, having successfully completed at least one brevet with an existing Randonneuring club in another city, before organising their own brevets. [For the safety of all concerned and to keep the integrity of this sport, organising brevets is not open to non-randonneurs.]
  • Be a Resident of India.
  • Be over 18 years of age.
  • Have the ability to read, absorb and apply a large number of Rules, regulations, guidelines, Protocol requirements.
  • Have access to the Internet, and be net-savvy (as all event details, data are updated / communicated online).

Request to organise Brevets within a region (100 kms radius) which has an existing Organising club will be addressed on a case by case basis.

No Sponsorship Policy

This policy document outlines the Rules for Support (not "sponsorship") from external entities, individual or corporate. Brevet Organisation is strictly a not for profit activity. The nature of the activity is community based and must remain so.

The Organizing clubs are allowed to take Support/Help from Supporter/s/persons etc), provided the agreement / arrangement meets the following conditions:

  1. It can be considered support only if the benefit of such support goes directly to the ridership. It can be in the form of refreshments, food, drinks or reduction of registration or medal fees, but any support must reflect in benefitting riders.
  2. Absolutely NO branding of any kind is permitted at any venue associated with any Randonneuring activity, brevet, briefing meets, medal ceremony etc.
  3. It goes without saying that the Supporter (Supporting organization/body) would not be allowed to put their name in the title of the BRM / event. [eg, “MRF presents Kem Chho 400”, etc would not be acceptable.]
  4. “No Monopoly” stipulation: The Organizing club cannot enter into any “exclusive” contract with any Supporter. Support may be taken from multiple organizations / corporates / individuals, for different randonneuring events, to ensure that any particular Supporter cannot create a monopoly for themselves / their brand, neither at the national level nor even at the city/club level.
  5. The Organizing club may NOT mention the names of the supporters on their social communication media, websites or event collateral (banners, tshirts etc), using terminology such as ”Supported By”, “Powered By”, “Bicycle Partner”, “Nutrition Partner”, “Transportation Partner” etc. A simple thank you as one would thank volunteers is ALL that will be acceptable.
  6. The Organizing club may seek support in the form of, supplies, manpower, vehicle support, tech support, hospitality at controles. Sponsors Branded items may not be distributed to riders. The Organising club will ensure that riders are not forced to use merchandise endorsed by the Supporters, during an event or otherwise.
  7. The Organising club will ensure that support crew will render support to the riders only at control points, including the start and finish control points.
  8. The Organising club will ensure that the Supporter does not use/leverage the brevet/event to sell their products/services to the riders during the event. The Organising club may not share their database, email id, tel ph no.s of ridership with the supporters.
  9. The Organising club will ensure that the Supporter does not demand any change in brevet routes / start points / end points, in order to include their store/office, although the Organising club may, of their own volition, choose to include such points on the route/s. All the rights pertaining to organizing and administrating the event will remain with the Organising club. The Organising club may permit or ask the Supporter to handle control point/s, if required.
  10. The Supporter would not be allowed to use their “support” of brevets as a part of their branding / marketing strategy, in any manner whatsoever.

Primary Requirements for Organisers

  1. Comply with AIR’s and ACP’s Rules for Organisers.
  2. Strictly enforce ACP and AIR Rules for Riders.
  3. Accept ACP article 10:2 of ACP contract “2. The local organising associations are the ground workers who set up the Brevets de Randonneurs Mondiaux.
    1. These local associations must not have any financial gain and should not have commercial arrangements with companies who have lucrative goals.
    2. It is desirable that the local organizers act within an association;
    3. The local organizers must be covered by insurance for public liability or any other insurance required by his country for events on the public highway; (AIR manages this for its subscriber clubs)
    4. They must respect the views and the decisions of the ACP representative;
    5. There will only be three levels within the organization of the Brevets de Randonneurs Mondiaux:The Audax Club Parisien, the association where the ACP representative exercises his mandate and the association of the local organizer of Brevets de Randonneurs Mondiaux.

Additionally Organisers are required to:

  1. Register with AIR as an approved Brevet Organiser, signing a formal agreement.
  2. Be Subscribers of Audax India Randonneurs - www.audaxindia.in
  3. (for new clubs) Establish a relationship with a Mentor club in your region, ie an organiser/club that has been organising BRMs for over a year.
  4. Be familiar with all aspects of conducting brevets of the distance that they intend to organise, preferably through personal experience of having ridden AIR calendar events of the same distance. If not, they would have to work closely with a Mentor (from another club) who has the relevant experience.
  5. Ride at least one brevet in India during each year that they are listed as Organiser/RR on the AIR Calendar. (this rule may be waived for a year, in exceptional case of a health issue or cycling injuries)
  6. Propose only those routes that they themselves are willing to ride [This again requires that RRs be Randonneurs first.]
  7. Submit their Event Calendar within the stipulated deadline (before end of Sept of each year) [Also, report any event changes / cancellations well in advance/]
  8. Follow Route Registration, Subscription, Event Activation and Homologation Protocol on the Audax India website. (The website is still under development stage, tech team will continue to update and advise as required, and are also on hand to guide old and new organisers)
  9. Understand that organising brevets is a strictly a not-for-profit activity. [Please read AIR POLICY ON SUPPORT NOT SPONSORSHIP]
  10. Article 4 of the contract between AIR representative Divya Tate and ACP : “Article 4 - The ACP representative may not promote and organise the Brevets de Randonneurs Mondiaux for profit. In the same way, it is recommended that the ACP representative does not exercise his mandate in an association intended to promote the randonnees for profit, or linked to one with profit motives.
  11. This is the culture of this activity from the top down, ie from Audax Club Parisien to worldwide, that it is conducted from a passion for Randonneuring and not for any other motives! AIR upholds that with due vigilance upon all its subscriber clubs.
  12. Accept that their inability to comply with the rules, or a violation on the part of an Organiser may lead to suspension of the Organiser’s approval to continue organising brevets.
  13. Make timely payments to AIR for the conduct and homologation of Brevets. This includes an annual operational fee, a deposit and Brevet fees to be paid at the start of the ACP year. In addition Homologation and Medal fees to be paid at the time of submission of results. CLICK HERE for Details of Fee Structure.
  14. Decide their Registration Fees with the approval of the National Representative / Managing Committee.
  15. Please CLICK HERE for AIR Medal/Homologation Fees & other Club fees. Clubs may not charge more than a nominal cost above that to cover award ceremony and other expenses arising from the medal distribution process.

Organisers Ride Rule:

  1. The Ride must take place a maximum of 2 weeks before or after the date of the BRM.
  2. Their results are to be added to the same homologation result sheet of the actual brevet.
  3. Please follow the following guidelines – The purpose of this is to maintain a record, keep the pre/post rides entirely transparent. Riders and others should not wonder how an organiser is getting homologated for a ride that s/he was officiating at!
  4. Prior intimation of organiser ride has to be given to AIR via an email to helpdesk@audaxindia.in giving date of organiser ride, date of actual event, event distance, list of names & AIR rider numbers of the riders in organiser ride.
  5. Please ensure that the riders on the pre/post brevet are genuinely officials and volunteers only.
  6. If a volunteer/official is going to be riding alone, s/he may invite a friend along who does not officiate at the brevet, apply same guideline as the rest.
  7. Riders must provide and organisers must maintain the records, proof of arrival at each check point in the form of ATM slips, restaurant or cafe receipts, or selfie shots at control points.
  8. Brevet cards to be maintained by pre/post riders, data of timings to be verified and counter-signed by an official not participating in the ride himself/herself.
  9. Ensure that riders on the pre/post ride follow the same rules, procedures as the registered riders.
  10. Organisers and Riders MAY NOT TAKE ANY ADVANTAGE that is not available to all others.
  11. Organisers and Riders DO NOT GET SECOND CHANCES. If you DNF in the pre-ride you may not then participate in the brevet, if a rider DNFs in the brevet s/he may not then join in a post ride!
  12. ONLY ONE Pre/Post ride may be planned per brevet.

Audax India Randonneurs reserves the right to change/update rules depending on unfolding circumstances. Any changes to Terms and Conditions, RULES AND REGULATIONS will posted to all Ride Responsibles.
